Food Export Documentation Checklist for First-Time Shipments

A practical checklist covering invoice, packing list, origin certificate, and shipping documents.

Commercial Invoice

The commercial invoice is the primary document in any food export. It must include seller and buyer details, product description, HS code, quantity, unit price, total value, currency, Incoterms, and port of loading/destination.

Packing List

A detailed packing list accompanies every shipment, listing number of packages, gross/net weight, dimensions, and marking details. For food products, include product-level descriptions per carton or pallet.

Certificate of Origin

Required by most importing countries to determine tariff treatment. For India exports, it can be issued by FIEO, the local Chamber of Commerce, or a designated authority. Some products may need a GSP certificate (Form A).

Shipping Bill (Export)

Filed on the ICEGATE portal before goods leave India. It captures HS code, value, quantity, shipping details, and applicable export incentive schemes. Required for customs clearance and shipping line release.

Bill of Lading / Airway Bill

Issued by the carrier, this is the document of title for ocean freight (Bill of Lading) or the receipt for air cargo (Airway Bill). It is essential for payment release under LC and for import customs clearance.

Additional Food-Specific Documents

Depending on product and destination market: FSSAI Export Certificate, Phytosanitary Certificate (NPPO), Fumigation Certificate, Quality/Lab Test Certificate, APEDA RCMC (for scheduled products), Halal Certificate, and Health Certificate as required.
